The problem
When an upload fails, portals rarely show a detailed reason. The same file may fail for format (JPEG vs PNG), encoded file size, pixel dimensions, face coverage rules, or a blurred scan. Candidates often retry the identical file multiple times instead of fixing the underlying issue.
Step-by-step
- Re-read the notification PDF for file format, KB range, and pixel or cm dimensions for both photo and signature.
- Right-click the file on your computer and confirm actual size in KB — not just the name.
- For “invalid image format”, re-export as JPEG from a proper editor; do not only rename the extension.
- For signature errors, re-scan on plain white paper, crop margins, and use Resize Signature at the stated KB cap.
- For photo errors, verify aspect ratio with Resize Image, then apply the correct 20/50/100 KB tool for that portal.
Common mistakes
- Retrying upload without changing the file.
- Using WhatsApp-forwarded images that were re-compressed and stripped of metadata incorrectly.
- Mixing up photo and signature size limits from different sections of the notification.
- Ignoring a separate live-photo capture step on newer UPSC forms after uploading a static JPEG.
